Administrative Director

Statement of Purpose:

The Administrative Director is a forward-facing, leader of the center who provides oversight on the day-to-day operations and spearheads both strategic and improvement initiatives. The candidate plays a key role in supporting the organization in creating a best practice nonprofit organization addressing surgical care needs globally with a focus on One World Surgery’s goals, mission and core values.

Position Responsibilities:

Daily Operations

  1. Oversees the operations of the center, assuring the application of center Policies and Procedures
  2. Supervises inventory management and supply purchasing, assists with coordination of container shipments, and manages customs processes, assuring that necessary supplies are always available
  3. Assures a safe environment for patients, visitors and staff, addressing identified hazards in a timely manner
  4. Initiates and supervises repair and maintenance projects for the center and related equipment, coordinating external services when needed and communicating progress regularly
  5. Manages approved capital investments and infrastructure projects
  6. Coordinates with NPH departments to assure fluidity daily operations (transportation, purchasing, etc.)
  7. Supports clinic team with efforts to adjust the clinical schedule to match center capacity limits


  1. Develops and manages the center’s annual budget and assures availability of funds via monthly transfer requests and necessary follow-up
  2. Makes decisions regarding appropriate use of funds in order to maximize their impact within the approved budget
  3. Supervises the use and tracking of the center’s funds to assure compliance with the approved budget and agreed upon accountability mechanisms
  4. Seeks ways to optimize the use of funds through creative cost savings initiatives
  5. Communicates regularly and responds to all inquiries from Program Director, NPH Accounting department and US financial advisers regarding spending and budget forecasting, or any major changes to the approved budget, providing monthly/quarterly reports as necessary

Human Resources

  1. Supervises all administrative/non-clinical teammates and volunteers at the center, including part-time teammates during medical missions
  2. Oversees the application of staff-related policies as described in the center’s employee handbook
  3. Implements initiatives to maximize the utilization and productivity of One World Surgery teammates
  4. Regularly communicates with team leads and the entire staff through meetings, electronic messages and postings, preparing agendas, scheduling, recording and distributing minutes as needed
  5. Assures annual performance evaluations and remains available to staff for guidance, counseling, and advice as needed
  6. Assigns preceptors to newly hired employees and monitors progress of orientee towards independent practice
  7. Creates professional development opportunities for staff based on best practices in program management and health care, as well as coordinates team building activities and social gatherings
  8. Evaluates and responds to staff, physicians, patients, visitors, or vendors concerns and suggestions

Leadership & Strategic Planning

  1. Represents One World Surgery during medical missions, orienting and building relationships with medical mission participants
  2. Evaluates current systems, structures, and staffing for ability to sustain the center’s growth, implementing changes and new systems as needed
  3. Supports development efforts by planning and hosting successful donor/VIP site visits, participating in monthly development planning meetings and updates lists capital needs
  4. Works to create a local network to expand center’s support and presence in-country
  5. Supports the implementation of the center’s Quality Improvement Plan and other evaluation efforts, including indirect oversight of the Patient-Reported Outcomes project
  6. Coordinates with the Program Director to develop and implement new initiatives in accordance with One World Surgery’s Strategic Plan

Position Requirements:

  1. Bachelor’s degree (Master’s preferred) in related area (Administration, Healthcare Management, Public Health)
  2. 4+ years administration and management experience
  3. Advanced skills in programs such as Word, Excel, PowerPoint, etc.
  4. Fluent in both spoken and written English and Spanish
