Administrative Director

Statement of Purpose: The Administrative Director is a forward-facing, leader of the center who provides oversight on the day-to-day operations and spearheads both strategic and improvement initiatives. The candidate plays a key role in supporting the organization in creating a best practice nonprofit organization addressing surgical care needs globally with a focus on One World Surgery’s goals, mission and core values.

Position Responsibilities:
1. Daily Operations
- Oversees the operations of the center, assuring the application of center Policies and Procedures
- Supervises inventory management and supply purchasing, assists with coordination of container shipments, and oversees customs processes, assuring that necessary supplies are always available
- Assures a safe environment for patients, visitors and staff, addressing identified hazards in a timely manner
- Initiates and supervises repair and maintenance projects for the center and related equipment, coordinating external services when needed and communicating progress regularly
- Manages directly any approved capital investments and infrastructure projects
- Coordinates with NPH departments to assure fluidity daily operations (transportation, purchasing, etc.)
- Supports clinic team with efforts to adjust the clinical schedule to match center capacity limits
- Ensures compliance with requirements for annual NGO renewal and, in coordination with clinic team, ensures center is operating under valid licenses and complies with Ministry of Health requirements

2. Finances
- Develops and manages the center’s annual budget and assures availability of funds via monthly transfer requests and necessary follow-up
- Makes decisions regarding appropriate use of funds to maximize their impact within the approved budget
- Supervises the use and tracking of the center’s funds to assure compliance with the approved budget and agreed upon accountability mechanisms
- Seeks ways to optimize the use of funds through creative cost savings initiatives
- Communicates regularly and responds to all inquiries from Director of Programs & Operations, NPH Accounting department and US financial advisers regarding spending and budget forecasting, or any major changes to the approved budget, providing monthly/quarterly reports as necessary

3. Human Resources
- Acts as a leader who inspires teammates, ensuring fairness and correct treatment of all.
- Creates, promotes and models a positive work environment, actively pursuing initiatives to improve teammate satisfaction and retention, addressing concerns as they arise and escalating more concerns to HR consultant and/or Director of Programs & Operations as necessary
- Supervises all administrative/non-clinical teammates and volunteers at the center, including part-time teammates during medical missions
- Oversees the application of staff-related policies as described in the center’s employee handbook
- Implements initiatives to maximize the utilization and productivity of One World Surgery teammates
- Regularly communicates with team leads and the entire staff through meetings, electronic messages and postings, preparing agendas, scheduling, recording and distributing minutes as needed
- Assures annual performance evaluations and remains available to staff for guidance, counseling, and advice as needed
- Assigns preceptors to newly hired employees and monitors progress of orientee towards independent practice

- Creates professional development opportunities for staff based on best practices in program management and health care, as well as coordinates team building activities and social gatherings
- Evaluates and responds to staff, physicians, patients, visitors, or vendors concerns and suggestions

4. Leadership & Strategic Planning
- Represents One World Surgery during medical missions, orienting and building relationships with medical mission participants
- Evaluates current systems, structures, and staffing for ability to sustain the center’s growth, implementing changes and new systems as needed
- Supports development efforts by planning and hosting successful donor/VIP site visits, participating in monthly development planning meetings and updates lists capital needs
- Works to create a local network to expand center’s support and presence in-country
- Supports the implementation of the center’s Quality Improvement Plan and other evaluation efforts, including indirect oversight of the Patient-Reported Outcomes project
- Coordinates with the Director of Programs & Operations to develop and implement new initiatives in accordance with One World Surgery’s Strategic Plan

Position Requirements:
1. Bachelor’s degree (Master’s preferred), preferably in related area (Administration, Healthcare Management, Public Health)
2. 3-5 years administration and management experience
3. Advanced skills in programs such as Word, Excel, PowerPoint, etc.
4. Fluent in both spoken and written English and Spanish

This is a full-time position based in La Venta Nueva, just 45 minutes outside of Tegucigalpa. Evening and weekend hours are often required. OWS provides all benefits as required by Honduran law.

Acerca de One World Surgery

One World Surgery is a nonprofit organization with a mission to ignite the spirit of service and transform lives by providing access to high-quality surgical care globally. Our three cornerstone programs include operating global surgery centers, leading surgical medical missions, and offering education and training support to local medical professionals. One World Surgery funds and operates the Holy Family Surgery (HFSC) in Honduras. The surgery center is located on the 2,000 acre ranch of the children's home Nuestros Pequeños Hermanos (NPH). The ranch is approximately 1 hour northeast of Tegucigalpa. The Holy Family Surgery Center is a permanent facility with a Honduran team that provides orthopedic consults and surgeries year-round. The center also hosts weeklong medical mission trips during which teams of volunteers (generally from the U.S.) perform consults and surgeries in additional specialties. HFSC hosts 1-2 medical mission teams each month, with up to 60 volunteers per team.
